LIBRARY SPECIAL COLLECTION
Purpose/Description
The Special Collections of the University Learning Library provides access to the Archives materials, Thesis, and publications of the university.
Policy

Special Collections materials are for ROOM USE ONLY.

The Library holds all UDM theses at all levels. We do not usually keep projects papers but accepts some diploma work as endorsed by the Research Center.

Author’s copyright of theses is strictly protected. Readers must
fill out their library card if they consult the thesis. Copying of thesis using cellular phones and other devices that can be used for capturing a part of the thesis
is strictly prohibited.

UDM theses are endorsed by the Dean of College for storage and.

Lending Policy are:
-
No cellular phone is allowed inside the browsing area. It must be deposit in the counter or put on their respective bags.

Borrowers are to log in properly, putting topics, course and year on the log sheet provided upon entering.

They must check index to thesis as reference for their topic.

One thesis at a time only per student for 30 minutes.

Browsing area is good for 4 students only. Borrowers are responsible for returning library materials on time so that others may use them.

Borrowers are required to check missing pages of journals / thesis they wish to borrow to avoid inconveniences. The librarian shall hold students responsible in returning journals with missing pages.

Students who are caught vandalizing, stealing, or mutilating any material in this area will be referred to the Office of Student Affairs for proper disciplinary action.

VERTICAL FILES / NEWSPAPER CLIPPINGS
As a means of providing alternative sources of information to the library users, vertical files are maintained through indexing relevant newspaper articles. Articles to be indexed are based on the program offerings of the University. Indexed articles will be collected for downloading.
Policy
a. The Library checks article from newspaper for archiving.
b. College Librarian must keep a record for their retrieval purposes.
VERTICAL FILE MANAGEMENT PROCESS
a. Receive newspaper subscription daily.
b. Record newspaper subscription upon receipt.
c. Identify scope of subjects to be indexed.
d. Browse newspaper online and capture relevant article.
e. Librarian/Library Assistant should make a list of articles found online.
f. Check and indicate subject index code of articles.
ARTICLES TO KEEP FROM PRINT COPY
g. Newspapers are cut on a monthly basis, e.g. newspapers from
Monday-Friday should be cut Monday next week.
h. Clippings must be recorded in the Newspaper Clippings Monitoring
Sheet before cutting out.
j. The following data must appear in the monitoring sheet:

Number of Articles Indexed

Indexed by and date indexed

Cut by and date cut

Remarks
k. Send via email the online clippings to Main LRC.
l. Keep cut newspapers neatly in your storage area for pick up.
